{"id":3615,"date":"2018-11-19T08:15:00","date_gmt":"2018-11-19T13:15:00","guid":{"rendered":"https:\/\/www.method.me\/blog\/?p=3615"},"modified":"2026-01-05T08:49:05","modified_gmt":"2026-01-05T13:49:05","slug":"the-art-of-extreme-productivity-joe-woodard-at-quickbooks-connect","status":"publish","type":"post","link":"https:\/\/www.method.me\/blog\/the-art-of-extreme-productivity-joe-woodard-at-quickbooks-connect\/","title":{"rendered":"The Art of Extreme Productivity: Joe Woodard at QuickBooks Connect"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Toward the end of a busy first day at QuickBooks Connect, a packed room eagerly awaited <a href=\"https:\/\/twitter.com\/joewoodard\">Joe Woodard<\/a>\u2019s talk on conquering task overload. Clearly, many of the accountants in attendance were looking for some guidance on working more productively.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cI\u2019m hoping you\u2019ll feel a little more empowered when we\u2019re done with today\u2019s session,\u201d Woodard told the audience. As the CEO of <a href=\"https:\/\/woodard.com\/\">Woodard Events, LLC<\/a>, as well as a renowned author, consultant, business coach, and speaker, it\u2019s safe to say he knows a thing or two about professional development in the accounting industry.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, the audience wasn\u2019t yet sure whether Woodard had <em>all<\/em> the answers they were looking for. When he promised to share his methods for getting to (and staying at) zero inbox, the room erupted in laughter \u2014 was such a thing even possible?<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-overcoming-productivity-myths\"><strong>Overcoming productivity myths<\/strong><\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Before getting to the secrets of an empty inbox, Woodard needed to debunk some common misconceptions about productivity. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The first myth is that you can manage time. In reality, no one has any control over time. Instead, productive people focus on managing projects and smaller tasks within those projects. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Woodard gave the example of someone trying to find the time to write a book. Such a large project can seem daunting, so just think of each individual page as a task to complete.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cIf you want to write a book, you write a page and you write another page and you write another page \u2014 and all of life is that way.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The second myth is that efficiency is the hallmark of productivity. Sure, someone who completes 80 tasks in a day will appear extremely productive. But what if those 80 tasks were unimportant or unnecessary?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Woodard explained that the true measurements of productivity are outputs, effectiveness, and mental clarity. Mental clarity is a big one for him: getting tasks out of his head by accomplishing them or depositing them elsewhere for future reference. He referenced David Allen\u2019s <a href=\"https:\/\/www.amazon.com\/Getting-Things-Done-Stress-Free-Productivity\/dp\/0142000280\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Getting Things Done<\/em><\/a>: \u201cYou should never think a thought twice unless you enjoy having that thought.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The third productivity myth is that you can multitask. \u201cYou can only think about one thing at a time \u2014 that\u2019s the truth,\u201d said Woodard. Attempting to focus on two tasks at once inevitably leads to distraction and poor performance on one of them.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter\"><img decoding=\"async\" data-src=\"https:\/\/www.method.me\/wp-content\/uploads\/2018\/11\/method@qbc2018_day1-JoeWoodard04-1.jpg\" alt=\"\" class=\"wp-image-4077 lazyload\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" style=\"--smush-placeholder-width: 800px; --smush-placeholder-aspect-ratio: 800\/450;\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">To drive the point home, Woodard asked the audience if they had ever attempted to interact with a teenager who\u2019s on their phone: \u201cYou would think they just lost all of their mental capacity.\u201d<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-overcoming-productivity-roadblocks\"><strong>Overcoming productivity roadblocks<\/strong><\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Even when you know the truth about what productivity is (and isn\u2019t), that doesn\u2019t mean it\u2019s easy to achieve it. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cIn my experience, the psychological roadblocks are the biggest impediments to productivity \u2014 even more than process,\u201d said Woodard. In other words, your mind is literally making it harder for you to get stuff done.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Negative thinking is one of the biggest barriers to working productively. Indeed, Woodard offered a laundry list of negative emotions that can hinder progress: fear, uncertainty, and doubt; worry, dread, and fretting about the future; anxiety, strife, and self-consciousness about the present; guilt, regret, and remorse about the past. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It\u2019s enough to make you wonder how anyone gets out of bed in the morning. Luckily, Woodard reassured the audience that there are antidotes to all of these woes: things like planning, acceptance, forgiveness, and confidence.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And then there\u2019s the procrastination beast. Procrastination causes you to prioritize the tasks that are easiest, most fun, or most predictable \u2014 meaning that by the time the post-lunch slump rolls around, you\u2019ve run out simple tasks and can\u2019t fathom tackling your most challenging tasks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One of the best ways to overcome procrastination is to perform micro-tasks that can jumpstart the desire to do the larger task. It\u2019s important to recognize that the desire to do something rarely proceeds doing&nbsp;it \u2014 \u201cbut if you continually act in a way and desire never follows, change occupations,\u201d quipped Woodard. <\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-putting-productivity-in-motion\"><strong>Putting productivity in motion<\/strong><\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Productivity begins with prioritizing your tasks appropriately. But first, make sure the tasks on your list deserve to be there. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Woodard told a story about being asked to come up with a mission statement and being reluctant to do so. But then he realized he was missing the intention of the exercise: \u201cThe point wasn\u2019t to have a mission statement. The point was to have a mission.\u201d If everything on your task list ties into your overall vision, mission, and purpose, it\u2019s far easier to find focus.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter\"><img decoding=\"async\" data-src=\"https:\/\/www.method.me\/wp-content\/uploads\/2018\/11\/method@qbc2018_day1-JoeWoodard08.jpg\" alt=\"\" class=\"wp-image-4078 lazyload\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" style=\"--smush-placeholder-width: 800px; --smush-placeholder-aspect-ratio: 800\/450;\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Woodard is a proponent for using the <a href=\"https:\/\/www.eisenhower.me\/eisenhower-matrix\/\">Eisenhower Matrix<\/a> to set daily task-based goals. The idea is that each of your tasks falls into one of four quadrants in the matrix, and you need to incorporate each quadrant into each day.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"\">Tasks to manage: those that are both important and urgent.<\/li>\n\n\n\n<li class=\"\">Tasks to focus on: those that are important, but not urgent. \u201cThe world of effectiveness lives in this quadrant,\u201d explained Woodard.<\/li>\n\n\n\n<li class=\"\">Tasks to avoid: those that are urgent, but not important.<\/li>\n\n\n\n<li class=\"\">Tasks to limit: those that are neither urgent nor important.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">You should also aim to complete your most challenging or dreaded tasks during the time when you are most focused and alert.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-the-elusive-zero-inbox\"><strong>The elusive zero inbox<\/strong><\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Finally, Woodard was ready to share his four-step plan for conquering your inbox, once and for all.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The first step is to adopt some kind of note solution \u2014 whether that\u2019s Evernote, OneNote, or simple Word document. This note solution will become an extension of your brain; the place where you deposit important details so they aren\u2019t cluttering up your mental space.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The second step is to go into your inbox and clear out all emails older than 60 days. Seriously, just delete them or move them into a folder. Realistically, said Woodard, if you have an email that\u2019s older than 60 days, \u201cthere is nothing actionable in it that\u2019s still actionable \u2014 or, if there is something actionable, someone else has pinged you about it since then.\u201d<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter\"><img decoding=\"async\" data-src=\"https:\/\/www.method.me\/wp-content\/uploads\/2018\/11\/method@qbc2018_day1-JoeWoodard09.jpg\" alt=\"\" class=\"wp-image-4079 lazyload\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" style=\"--smush-placeholder-width: 800px; --smush-placeholder-aspect-ratio: 800\/450;\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">The third step is to go through your remaining messages and apply David Allen\u2019s \u201cfour D\u2019s\u201d: delete it, delegate it, do it, or defer it (by adding it to your note solution). The point is to get every single email out of your inbox \u2014 and by extension, out of your brain. \u201cThis is fantastic airplane stuff,\u201d Woodard suggested.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The fourth and final step turned out to be a bonus: experience clarity of mind. \u201cI sleep well because I don\u2019t have anything in my inbox,\u201d said Woodard.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To close, Woodard reminded the audience that while zero inbox is <em>not<\/em> a myth, zero task list is. The point of life isn\u2019t to have nothing to do \u2014 because how dull would that be? Instead, focus on organizing, prioritizing and executing your tasks wisely. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After all, nothing induces a good night\u2019s sleep quite like a highly productive day.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-css-opacity\"\/>\n\n\n\n<p class=\"wp-block-paragraph\"><em> Want more #QBConnect content?
