Start by <strong>avoiding AR<\/strong> where possible: deposits, auto-pay, and easy payment paths.<\/li>\n\n\n\n<li class=\"\">Be <strong>politely relentless<\/strong>. People pay the squeaky wheel.<\/li>\n\n\n\n<li class=\"\">If you\u2019ve got aging invoices, be <strong>friendly but firm<\/strong>: explain the backlog, offer <strong>payment plans<\/strong>, and set new rules going forward.<\/li>\n\n\n\n<li class=\"\">Rolling changes is fine: <strong>start with new customers<\/strong>, then migrate existing ones.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>On \ud83d\udcb8 checks:<\/strong> Helina\u2019s firm doesn\u2019t let clients accept them. <strong>Check fraud<\/strong> is rampant, postal delays make things worse, and \u201cthe check is in the mail\u201d is the oldest cash-flow stall in the book. Offer auto-pay; if a customer wants float, <strong>trade it for longer terms<\/strong> while keeping control of collection.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-demo-how-ar-can-run-without-having-to-constantly-chase-clients\">Demo: how AR can run without having to constantly chase clients<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">We walked through a quick demo of how Method handles the <strong>front-end of <a href=\"https:\/\/www.method.me\/features\/estimates\/\">estimates<\/a>, <a href=\"https:\/\/www.method.me\/crm-quickbooks\/invoice-software\/\">invoices<\/a> and cash collection<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Want a full in-depth Method demo and live Q&amp;A with a product expert? <a href=\"https:\/\/www.method.me\/crm-quickbooks\/invoice-software\/\"><strong>\u27a1\ufe0f Register for our 30-minute weekly workshop.<\/strong><\/a><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Create an estimate, <strong>email or SMS<\/strong> it, and even <strong>require a deposit<\/strong>.<\/li>\n\n\n\n<li class=\"\">The <strong>customer portal<\/strong> lets clients accept and <strong>pay directly<\/strong> (with signature), and everything <strong>bi-directionally syncs<\/strong> with <strong>QuickBooks (Desktop\/Online) and Xero<\/strong>.<\/li>\n\n\n\n<li class=\"\">The point isn\u2019t one estimate\u2014it\u2019s <strong>standardizing the process<\/strong> across teams so Sales never needs to poke around in the accounting file, and Finance still sees every step.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-ap-manual-approvals-aren-t-safer-they-re-slower-and-riskier\">AP: manual approvals aren\u2019t \u201csafer,\u201d they\u2019re slower (and riskier)<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Attendee questions hit the usual headaches: <strong>duplicate bills, multi-page invoices, who approves what,<\/strong> and <strong>closing delays<\/strong> when suppliers are late.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Helina\u2019s AP guidance (and a story):<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\"><strong>Paper piles<\/strong> lead to batch \u201crubber-stamp\u201d approvals. That\u2019s not safer.<\/li>\n\n\n\n<li class=\"\">Use tools with <strong>receipt capture\/OCR<\/strong> and <strong>duplicate detection<\/strong> (e.g., ApprovalMax\u2019s capture).<\/li>\n\n\n\n<li class=\"\">Push approvals through <strong>rules<\/strong> instead of inboxes: by <strong>location, role, amount thresholds, class\/project<\/strong>.<\/li>\n\n\n\n<li class=\"\">Add <strong>auto-approval<\/strong> for obvious, low-risk items (e.g., small recurring software).<\/li>\n\n\n\n<li class=\"\">Include an <strong>optional review step<\/strong> before approvals if needed.<\/li>\n\n\n\n<li class=\"\">Every action builds a <strong>full audit trail<\/strong>, and the <strong>documents + audit log<\/strong> flow into <strong>QuickBooks\/Xero<\/strong>\u2014<strong>auditors love this<\/strong>.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Harry\u2019s AP war story:<\/strong> sacks of soggy mail, hand-coding hundreds of invoices, double-counting, and suppliers (like the window cleaner) waiting months. The bigger you get, the less acceptable that becomes.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Cash-flow considerations:<\/strong> Real-time AP avoids \u201c<strong>$70,000 surprise<\/strong> due tomorrow.\u201d Early visibility lets you plan, verify vendor performance\/rates, and eliminate guesswork.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-reporting-what-control-tower-visibility-looks-like\">Reporting: what \u201ccontrol tower\u201d visibility looks like<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">We should think about \u201creporting\u201d as everything from basic month-end to <strong>multi-entity consolidation<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Harry\u2019s Join walkthrough:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Build <strong>consolidation<\/strong> from multiple companies.<\/li>\n\n\n\n<li class=\"\">Flip reporting <strong>currency<\/strong> (e.g., to GBP for a lender); the tool handles the translation.<\/li>\n\n\n\n<li class=\"\">See <strong>company-level breakdowns<\/strong> and <strong>toggle eliminations<\/strong> to check intercompany lines <strong>before\/after<\/strong>.<\/li>\n\n\n\n<li class=\"\">Use <strong>dashboards<\/strong> for cash and key metrics so you\u2019re not waiting on a quarterly Excel marathon.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-ecosystem-not-monolith\">\u201cEcosystem,\u201d not monolith<\/h2>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"1920\" height=\"1080\" data-src=\"https:\/\/www.method.me\/wp-content\/uploads\/2025\/08\/ERP-monolith-vs-ecosystem-based-on-QBO-or-Xero.png\" alt=\"ERP monolith vs ecosystem based on QBO or Xero\" class=\"wp-image-36018 lazyload\" data-srcset=\"https:\/\/www.method.me\/wp-content\/uploads\/2025\/08\/ERP-monolith-vs-ecosystem-based-on-QBO-or-Xero.png 1920w, https:\/\/www.method.me\/wp-content\/uploads\/2025\/08\/ERP-monolith-vs-ecosystem-based-on-QBO-or-Xero-768x432.png 768w, https:\/\/www.method.me\/wp-content\/uploads\/2025\/08\/ERP-monolith-vs-ecosystem-based-on-QBO-or-Xero-1536x864.png 1536w\" data-sizes=\"(max-width: 1920px) 100vw, 1920px\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" style=\"--smush-placeholder-width: 1920px; --smush-placeholder-aspect-ratio: 1920\/1080;\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Helina\u2019s implementation view:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Keep <strong>QuickBooks\/Xero as the core<\/strong>, and <strong>plug in<\/strong> robust apps (AR\/AP approvals, reporting) as needed.<\/li>\n\n\n\n<li class=\"\">These aren\u2019t six-month ERP migrations\u2014<strong>many setups take about a day<\/strong> to pilot and prove.<\/li>\n\n\n\n<li class=\"\">As the business evolves (inventory needs, new workflows), <strong>swap components<\/strong> without ripping out the whole stack.<\/li>\n\n\n\n<li class=\"\">Compared to big ERPs she used in industry, today\u2019s app ecosystem is <strong>more flexible<\/strong>, <strong>faster to adopt<\/strong>, and frankly <strong>does more for less<\/strong>.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-q-amp-a-highlight-budget-vs-actuals-and-forecasting\">Q&amp;A highlight: budget vs. actuals (and forecasting)<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A closing question nailed a common pain: <strong>aligning budget to spend<\/strong> so unapproved or unbudgeted costs don\u2019t slip through.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Helina\u2019s answer:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">In high-growth, <strong>forecasting<\/strong> can be more useful than a static budget\u2014<strong>review monthly<\/strong>, not quarterly.<\/li>\n\n\n\n<li class=\"\">Decision-makers need <strong>timely, trustworthy data<\/strong> to steer without guesswork.<\/li>\n\n\n\n<li class=\"\"><strong>ApprovalMax can do budget checks<\/strong> against QuickBooks budgets by project\/class during approvals, so overages are flagged <strong>before<\/strong> spend goes out.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>On-demand webinar recording: how to build a \u201ccontrol tower\u201d that connects AR, AP, reporting, and workflows for faster decisions.
